This person will serve as a SITE ADMINISTRATOR as well assisting with various activities onsite and aiding multiple managers. 
Primary tasks will include: Arranging, organizing, and supporting customer tours, hosting meetings, and invoicing support. 

Essential Responsibilities: 
The Executive Assistant must be creative and enjoy working within an environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. 

As an Executive Assistant, you will: 
Prioritize conflicting needs; handle matters expeditiously 
Proactively engage on and see projects through to successful completion within strict deadlines 
Plan, schedule, and arrange business meetings and travel itineraries; prepare and reconcile expense accounts 
Process T&L expenses in accordance with GE guidelines and assist in managing expense accounts and budgets 
Prepare communications such as organization announcements and newsletters 
Prepare presentations, reports, spreadsheets, meeting minutes and other business information Use discretion in interfacing with all levels of individuals, internally and externally 
Prepare, evaluate, and edit incoming and outgoing communications for the executive Keeping org charts, seating, etc. up to date 
Planning employee lunch and learns, trainings, etc 
Direct business contacts to appropriate managers 
Coordinate onsite and offsite business meeting and events Manage conference / huddle rooms and common office areas 

Qualification/Requirements: 
High School Diploma or GED (associate degree preferred) 
Minimum of 6 years of work experience, with at least 2 years of executive support experience. 

Eligibility Requirements: 
Legal authorization to work in the location where position is hired. 
Any offer of employment is conditioned upon the successful completion of a background investigation and drug screen 
Must be willing to travel 10% 

Desired Characteristics: 
Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms 
Strong experience with Oracle fusion or similar programs for invoice and PO management 
Ability to prioritize and demonstrate forward thinking 
Ability to deal with ambiguity 
Experience supporting customer events 
Experience supporting executive level leadership 
Strong organizational skills and exceptional attention to detail and accuracy 
Ability to prioritize, anticipate needs and solve problems 
Ability and willingness to work a flexible schedule when necessary Highly motivated, confident, able to work without direct supervision 
Ability to perform under pressure and against tight deadlines Fluent in use of GE online applications and systems including Skype, Webex, Teams, Colab, GETRes, Concur, and Oracle Fusion 
Excellent interpersonal skills, leadership skills and teamwork 
Experience interfacing with senior management and high-profile external contacts 
Strong verbal and written communication skills and ability to draft clear and concise communications 
Superior customer service skills 
Ability to maintain high level of integrity and confidentiality 
Strong oral and written communication skills Knowledge of GE policies / procedures 
Strong business analysis and problem-solving skills Ability to work with cross-functional teams to help build effective processes
